We are using our Artificial Intelligence (AI) Virtual Assistant system to digitally confirm your Personal details and for completion of questionnaires prior to appointment.
This Privacy notice explains how your information is collected, used and safeguarded when you interact with the system, and provides details about data usage and security measures.
LSCft operates this AI Virtual Assistant to provide a convenient and efficient way for you to fill out your documentation prior to, during and after referral.

What data will be collected?
When you use the AI Virtual Assistant, we may collect:
- Personal Information: Name, date of birth, NHS number
- Contact Information: Email address and mobile phone number to contact you with appointment reminders and the link to the virtual assistant to complete the questionnaires.
- Appointment details: Date, time and location of appointments
- Interaction Data: Your responses to the questionnaires.
How will my data be used?
We use your data to:
- Digitally confirm your personal details
- Send appointment confirmations or reminders via text, email or other communication channels
- Update your clinical record with the completed questionnaires prior to your appointment
- Improve the RIO Virtual Assistant systems performance and ensure it meets your needs
We do not use your data for marketing purposes or share it with third parties outside of essential service providers without your consent.
Is it secure and confidential?
We take the security of your information seriously. Measures include:
- All communications between the virtual assistant and our servers are encrypted.
- Only authorised personnel can access your data.
- Your information is stored securely on systems compliant with NHS Digital and the UK General Data Protection Regulation (GDPR) standards.
What do I need to use the Virtual Assistant?
Using the Virtual Assistant will require an internet connection. The data consumption is minimal, a text-based interaction is estimated at approximately less than 1MB per session.
We recommend using a secure and reliable internet connection to maintain privacy and minimise data costs.
We advise you use a private space where you will not be disturbed while using the Virtual Assistant
What are my rights?
Under the UK General Data Protection Regulation (GDPR), you have the following rights:
- Request a copy of your data held by us.
- Ask us to correct any inaccuracies (in discussion with the clinician)
- Request deletion of your data, where applicable.
- Limit the use of your data in specific circumstances.
- Object to processing based on legitimate interests.
